Memo regarding your 2007/2008 membership

What is involved in this job? I mean what would I do if I said I would do the job?

How does the signup process work?

Thanks to Mark for the time and effort that he put into this… Please be patient for a little longer whilst the membership information and freebies etc are transferred to a new location and person. We’ll try to get up to date ASAP.

I’ll post again when we are ready to get a list of people who are yet to receive their membership packs, and new procedures are put in place.

I have to say I don’t think anybody has bitched or been sarcastic about not having a pack, just pointed out that they do not have one.

Thats how I read it guys, its obvious this is probably a job that can easily swamp a single person and sounds like Mark F needs some help. I don’t think people are being sarcastic but they are correct in pointing out that we, as a club offer a membership pack and a couple of goodies for the membership fee, this to date hasn’t been easy to administer obviously but we shouldn’t have to be affraid of asking for an update surely?

Mark - sounds like one of the guys wants to help, but perhaps its a support role rather than leaving this huge task to one chap again?

Perhaps we could deal with it by areas in the future?

I think that there comes a time when jobs like this get to be a pain and this is probably that time.
What people don’t account for is that all this stuff is done in spare time and when your life is generally busy, finding that spare time is rather difficult.
Mark has taken a hell of a lot of abuse over the time as has Pete but they have given their time to fellow owners and we should be grateful for that, i for one thank them both as it is a joint operation which also includes Simon [3000gt].
Every year we ask for volunteers to help out, now and again we will get one or maybe two step forward, no more than that though.
Something else to take into account is that we have to hand over the club membership details etc to someone who we know and trust implicitly as it would be wrong of us to do otherwise. For that reason you will not see someone on the committee who we don’t know or has only been in the club for a long week-end. That should not be read as detrimental to any new owners, far from it but we do need to know who we are handing data over to.
We have had people before volunteer to do tasks and leave a couple of months later, that’s no good to us or the club in general, we have a duty to not only protect you all but try to offer the best service we can. Sometimes this falls down a bit when committee members are too busy in their private lives and we can only apologise for that but that’s life i’m afraid. This is a voluntary role and therefore comes second to family and work commitments.
Personally i would rather do away with the membership packs completely or just hand them out at events via regional organisers. The other way is to use a private company to do this but the costs are quite heavy and the organising doesn’t get simplified as data and membership #'s still need to be forwarded etc.
Whatever the outcome, the whole procedure must be simplified to either help the people doing this or just to cut down the time involved.
It’s your club, we welcome suggestions. Just don’t bring the paypal question into this as Simon does the accounts the way he is happy to do them and we should leave it at that or we will be looking for a new treasurer too and handing over the entire club monetary accounts to a complete stranger is not something i look forward to.

I think thats well said MAS and I think 99% of the members are there with understanding that we all do this for fun mostly…all the volunteers doa great job and its not something to take lightly Im sure…however we shouldn’t have to be in this situation where the slightest remark or questions causes a huge uproar and a resignation. (agree that abuse or sarcasm should not be tolerated either)!

I like the sound of the area organisers stepping up a little and trying to ease the burden, Its clear that one person trying to look after all the members is too big a task and the chances are that a well meaning soul stepping up and taking the load off Nemesis will probably end up the same way. If we offer someone a membership pack or a key ring and it doesn’t arrive, then they will get pissed off…its natural.

Later in the year I will be better placed to see if I can offer some support on a regular, consistant basis…if I do and I feel that I have bitten off more than I can chew, i’d like to think I could either ask for some help, ask guys to be patient and give them a date for sorting their problems but I hope I wouldn’t feel forced into making people feel affraid to post on here, ask for updates on here and generally look to the organisers, administrators etc for help when they needed it.

Any other suggestions from the masses would be appreciated.

The membership process is currently being discussed and we do have a volunteer to take over the role. (A very brave man but he does have the huge benefit of being able to print and assemble the membership packs at his work! – Again saving GTOUK money)

As for where I stand, well I tried bowing out of the role before the last AGM but there was simply no one else to do the job, I knew things would be even tighter on time this year as I have so many new projects and responsibilities at work plus I have my own LTD company to run in the evening too. (Not to mention a GTO that bleeds me dry of time and money and an Ultima that doesn’t even have one bolt attached to its chassis yet!)

As far as doing the packs is concerned, coming into the office at stupid O’clock wasn’t ideal but to be honest it didn’t bother me to much, but when I come in and can’t do what I want to do (IE Print a load of stuff FOC for GTOUK) then things look less rosy (And my allocated time for stuffing the packs goes out of the window!). :cry:
What people do need to remember is that for the last 2 years I have sent out Circa 700 membership packs and if you count up all of the ones that don’t get there, well it’s a very small percentage. (And people only ever see the bad and not the good) :wink:

But I guess what has really started to bother me is that people could not even be bothered to read the guidelines that I have laid out for people to follow when detailing that something is not correct (No forum access, no membership packs ect).
What I have seen is comments from people with the rolling eyes or the cactus or someone telling me that I have bitten of more than I can chew (Well at least I had the decency to bite something and try and do my bit for the club) and of course let’s not forget the number of emails I have received saying that the pack has not been received and can I send another one!
Well this is where I have seen an issue, One if someone doesn’t want to help me by reading the posts that I took my time to write and post their postcode and Surname how am I meant to know that the data I am using is indeed correct?
Secondly if someone is emailing me to my Yahoo email address asking for another pack then they MUST have received a pack to have that address as it is not listed on GTOUK via my profile, only on the membership letter… (Then on occasion the same person has PM’ed or Posted again asking for another pack)

Anyway, I guess after a period of time I just couldn’t see the tangible benefits of me giving up my time doing the membership packs.
I do however empathise with the anyone who has paid their dues and have not received their pack, but the pack is such a small part of what the club offers and I don’t think too many people have seen that.
I still have a great interest in GTOUK and at least if I am not doing the membership side of things I will have a bit more time to try and organise some events where we get to meet new faces and catch up with old ones, as for me, that’s what club membership is all about – Sharing our passion and having a good time! 8)

I think the process seems to complex, yes it’s nice to get a freebie or two but it makes the job too difficult.
I’d be happy with a PM or E mail confirming my cheque has cleared and giving me my membership no.
I can print the confirmation off and keep it, then i’m able to quote my unique membership no to my insurer who gives me a bit of a discount for being a member…
If I want a keyring or a car sticker are they not available from the club shop.
Wouldn’t that be a simpler method, the royal mail is next to hopeless anyway, so why use it.

All the freebies will still be shipped out, but we’ll be using a slightly different method to ensure that they are received ok.

I’ll be taking over this part of the operation soon, and I’ll post up when things are back in motion.

Would it help if when members re-newed or took up membership they provided a stamped A4 SAE, it might add a little to the cost of joining but would cut down on the routine of addressing and sticking stamps on envelopes or do you mail merge the envelopes from a database?

Membership conformation money received and membership number via PM’s
Send A4 SAE if you wish to receive a membership pack…

Each membership SAE requesting a free members pack must also contain a printout of the
conformation PM they first received…

this should help stop membership freebie packs being asked for before they have paid that years
membership fee.

Also should a different person be dealing with filling and sending back what is contained within
the membership pack… then by sending a printout of their original conformation PM with their
SAE… their is now no longer a need for this person to be notified as to who has or has not paid that
years membership fee…

The A4 SAE method could also be utilised for any news letters in the future… again saving on
postage and addressing envelopes… just place a post on the forum informing all that the news
letter is now available and where to send their SAE if they wish to receive one.

A SAE would make the job harder as the letter would then have to be matched to the correct envelope.
Different membership joining years get different things in their membership packs too (This is determined by the membership number).

Nice thought but sadly impratical.

Hi Sam,
You will indeed get a membership pack but we are in the process of changing the person who prints and makes up the packs.

I can assure you it will come through at some point from Pete Drapper and then Ian T will get it made up and sent out to you.

Hi guys,

I’ll be taking this over from Mark, who’s done a great job fitting it around his other commitments, but it is a big job for anyone really.

I’ll be collecting all the stuff in the next week or so, but then I’m off to the USA for just over a week. I’ll try to catch up with everything in the week or two following that.
